Today is the 1st day for the start of a fresh course, System Engineering. The lecture provided us with a brief introduction and how it would relate to the engineering field. He had mentioned in detail on what we should do and what are the things that he expected from us from this course.

Frankly speaking, on the first half session, we have no ideas in what we suppose to do since there is no formal examination. Also all the assessments will totally depend on the group project, journal and attendance. Wow! It is so scary, isn't it? Indeed because we know that doing project is not very easy. Additionally, this System Engineering is all about system so we extremely afraid on this subject.

But things were changed after the first break. Lecturer asked us to do the refreshment workshop, which is "Building the Tower" using "Lego Bricks" under limited specification in groups. Without knowing lecturer intension, we simply think that it is a kind of playing games same as childhood days and give us some additional break.

Actually, he is trying to demonstrate what is the system looks like and how to compose the organisation structure in limited specification in practical way.Due to his professional ways of teaching method, we are energetic in absorbing the ideas that he conducts, the basic grounding structure of System Engineering Course as well as things have to be submitted on 6 February 2010 after completed the first day of lecture.

In the class today we discussed Gantt charts. To most of us, "Gantt chart"is something that we seldom heard or even used before. The Gantt chart is much similar as an organizer but with more information and detail provided. It indicates clearly the amount of tasks and subtasks to be performed within the given timeline.

I have come across the use of Gantt charts before in my studies. I was involved in a 3 month project in conversion of our company's testing machines hardware as well as software configuration. There were 4 people in our team. In the early stages of the project we produced a project plan - this included a detailed Gantt chart. The project was broken down into several phases - each with their own sub tasks on the chart. All up there were about 20 tasks to be done on time.

I found this Gantt Chart to be a useful idea for project management as it helped all the group members see what had to be done and when. The chart also included who was responsible for each task - this seems like something that adds extra value to the chart. We could see that Technician D. Narmash Kartinum had 50% of his work time to some tasks while the rest of us were working on the project 100% of our work time.

The chart was working well until the last month of the project when some of the people were sick. I was away from work for two days, then for a few weeks, one or three people were away from work sick. It became very hard to know our progress on the project or which tasks had been completed. The project ended up being delayed for at least two weeks.

Based on the upper own experience, I think Gantt charts are useful tool to aid the visualisation of the tasks involved in project management, but they must be kept up to date to remain useful. I think I will use " Gantt chart" on our coming projects as it will be helpful in giving everyone a clear idea of the tasks that need to be performed and we can get advice from the people who have done similar projects in the past to make sure we are on the right track.

From the lecture, I understand that the identification of the need is the very 1st step to start off to design a product. We would gather information on the customer's needs and requirements by conducting survey, polling and user's feedbacks. With the information gathered, we would have a better understanding of the markets needs and works towards it to drives the functions for the product.

This is a common methodology used by companies to improve in their products and services. Such example is the evaluation or feedback form we done during the end of each course. It provides the organization and the lecturer a clear idea on the area they could be improving in for the next incoming intake. This would enhance the method of teaching and the system of the management so to better serve the students. For the end results, better students are produce, bringing good reputation to the school.

On the other hand, information gathered may not always be truthful. Some may just rush through the survey hopping to finish it and continue whatever they are doing. In such cases, from the information gathered, we would need to do careful analysis before determine it as a criteria to be met for the product design.

Now the compilation turns out to be much easier then ever with the use of electronic survey. Using electronics survey will ensure that the information is trustworthy as only the people who would be interested will access and fill in. We are able to generate the chart in view of all the needs in detail for ease of identifying the functions and requirements.

The functions and the requirements generated from the survey only portion will be selected the product as some function could never be co-exist. Therefore market often had certain products for certain tasks to meet the requirement of the different customer grouping.

It had been my fourth days of our lesson on system engineering and I had never found it boring at all. I observe it rather interesting in the way our lecturer Bill brings across his lesson. He had used Lego and video clips in helping us to understand the concept of system design.

It is always common when seeing students attention divert away during the mid of a lecture and it often difficult to capture their attention back given that the topic is dry.

From the way Bill teaches, he has identified the needs of the students and develops an optimal method in capturing our attention while delivering his teaching. This given me a rough concept in the analysis of the needs to derive the customers' requirements.

Base on the given task of the project, the designing of an Amphicar Project, he uses relevant background theme to guide us, giving us a head start to identify the needs and requirements. As for the designer, we are to think in the shoe of a customer, asking ourselves what we will be expecting to see from the product.

In fact, after today lessons, I have a draft idea of how to define needs and requirements for implementing on this Amphicar project.

The last day of the lesson, our lecturer, Bill, had gone thorough more detail in the Function analysis & allocation. He mentions time to time that the needs relate to the requirements and the requirements concerned, are translate as the functions for the products.

Once everything is in place, the component allocation will be much straight forward. Following closely to the steps will ensure the project to be working on the right track. He explained that certain function could be sub-function to more than one core function. Example the fire extinguisher, it can be place under "provide safety function" or "fire exterminating system".

We are introduced to the program CORE to help in the process of the function analysis. The program allows us to form the hierarchy for the functions and components and also showing us how each elements interface with one another.

This is the 1st time most of us ever came across this program and see such a diagram (FFBD). We would definitely take some time to figure out how to use the program in enhancing our work.

Lastly, before the end of the day, a video regards to the test and evaluation is shown to us. It explains the need to develop product in think of its lifecycles, and to address all possible issues before it comes to the actual day. Through testing, we would be able to discover unforeseen issues and problems that needed immediate corrective actions to prevent from unwanted hazard to happen.

Test and Evaluation is often done over a few days. There will be multiple tests for each component parts and eventually tested as a whole. At work, I had tried testing in preamp cable that is used to record and store the values of testing as in numerical values to the media testing hardware. So whenever there is need to change with new preamp, we have to ensure that the preamp works well before assembling to the socket. The preamp will go through numerous tests to ensure that it could support in proper writing data while testing. Then we try to record down the lifetime of the preamp until it damage and send for certification. It is a form of reliability test for the assurance of the product produce is able performs the task given.

Since we are schooling as part-time, all the team members are working in the different companies with different schedules. So we have some difficulties to appoint meeting days, which are flexible to everybody. But finally, 10th Jan has been appointed as the first day of the meeting to start preparation on our major project. We believe that by doing so, we could have the right person to make the decision in time of needs. Due to a team decision, Sithu Aung was appointed to be the leader for the team.

Initially, we tried to start off by setting the roles and responsibilities for each person but it was really difficult to assign those responsibilities precisely on the first day of meeting. Though our lecturer had provided some outlines for the project, we do not have enough general knowledge and research regarding about our project.

At that moment, my mind was reverting back to two days ago when I was in the lecture class. On that day, lecturer had shown the video clip that was all about the magic power of the teamwork. The way I understood on that video clip was "no matter how heavy the thing is, we can lift it up if we have a team spirit". Based on that understanding, I proposed to my team mates as writing draft on most of the parts of the project is compulsory to every person but after reading thorough on the every member works, we would conclude the best appropriate parts to our final project report.

But my team leader rejected my proposal. He told me that if we do like this, there are some people who very lazy to put effort in doing project will keep on having good life at the corner and those people who wish to get the good marks will be doing all the sections most of the time. Now then I realized that the reason why he rejected my proposal and I am really admired his leadership skill. After that he leads us to divide tasks for every team member.

According to our team members' agreement on the first day of meeting, we had decided to do our assigned sections individually and agree to discuss about the first section of the project which is so called SEMP section on the next meeting day on 13th Jan.

Three days had past and we had gathered again to review on each other progress for Draft 1 (SEMP Section) before submitting. We will be discussing on the Needs and requirement phase as well to ensure we do not fall behind schedule. I had started off by showing what I had done on the Risk management, Work breakdown structure and Statement of work

As I go along presenting my work, I explained that some of my task is incomplete due to the information I needed from one of them before I could proceed further. For example, the costing for the whole project where I needed the information from the resources portion before I could complete the calculation. And towards my surprises, some have not complete or even started their task while the rest only input their minimal effort by copy and paste from the website. So I had no choice to propose my group leader to ask them to redo the parts they are responsible for.

Most of them explained that the workload from their job had increase affecting the progress of the project. And one explained that he is clueless about the tasks he is responsible of. I do remember we had gone thorough each task making sure that everyone understand before we proceed. The preventive measure that was done during the 1st meeting turns out to be redundant. We do understand that all of us are being threatened by work and the project. But we have to understand that what we are pursuing for and what can be affected to other teammates if one of us delay to finish his part on time.

We notice that for our cases, in order to better monitor the progress of individual and the project task, frequent feedback is essential. We will have to ensure that during all even days, an email with attachment of the work is being sent to all for better monitoring. With the feedbacks, collective action could be performed in time, ensuring everyone is on the right track.

At the current situation, base on the updated Gantt chart, we are definitely far behind schedule. The only thing we could do is to cut short on all the talking and start making up for time missed. So in the incoming phases, careful planning had to be done as both tasks depended on each other.

Today we had set the meeting during the day, as 2 of us will be going for work during the evening. So today's aim is to review all the necessary adjustment needed and the discussion for the next phases, Function Analysis and Allocation. This time all except one had taken the measure of sending feedbacks to everyone to ensure the work could be monitor closely.

For the pass few days, I had been doing research on the needs that customers would look for in purchasing an amphibious car. I had also when around asking friend for their views and suggestion. Base on the information collected different target group means different expectations.

As the young adults, more to their concern are the entertainment, the design and the speed of the car. But for the middle range, they would prefer a car that could hold more people and having multiple functions like a Boat.

With the information found and the work done by others, I'm able to write out the system and document overview. I had also created the table for the input of the customers' needs.

The problem we faced is that the amount of needs gather are too little and the person who is responsible did not feedback or started his task. This time, my leader was well prepared because he had planned me as an addition person to work along with him to ensure there is work produce if not the progress would be jeopardized again as what happen for Project Planning.

We conclude the day by explaining and allocating the tasks to individual for our next section of our Amphicar II SRS section.

Things had not been going well over my ends and I had fallen sick for the past feel days with fever and flu. Nevertheless I had made the attempt to meet up for the meeting for a while since this is not the individual project and all can be affected.

After the meeting, I had approached my project leader who is Sithu Aung for the guidance of the using of the CORE program. I had tried and only manage to create the Functional Flow block diagram but not being able to create the hierarchy that had been shown during the lecture. So he suggested me to go through the video link that Bill provided for us. After reviewing that video, I am able to continue my work smoothly.

Other then I, the rest of the teammates, doing well on his or her part in learning the use of the program and contribute in drawing the diagram respectively. Our team member, Tun Win, needed to share the computer with his father, so most of the time he would stay behind in his work place to do the project. Taking into consideration, his task is to provide information for the Functional Analysis portion for us to input in to the block diagram.

Core had some limitation where we are unable to perform certain function since it is a university version. But it does give us a very clear visualization of the interface of the elements in both functions and components.

During the meeting, it turns out only Tun Win and I could able to use the program, while the rest had problem registering for the program. So I suggested them to provide with the contents while we are creating the diagram. Even though, all the works are really mess up in that mean time, we can accomplish our SRS draft session with the team spirit.

Today is the last lay meeting for the combination of the project. Even though we still have not received the Bill's comment on our submission of draft sessions, we expect to score the good marks based on the time that we spent for the project planning. Initially, we planned to do some minor changes for our final submission together with all the members.

But the thing turns out to be an opposite way because my project leader is away from Singapore for 3 days with urgent company's training so I take over his place to terminate the project successfully that we planned earlier. Also two of my group members could not show up to our project meeting due to their work commitment to company so there is only two persons left including me to do combination of the whole project.

Frankly speaking, we were facing with some difficulties due to most of the parts are done by individually so there is some miscommunication in the way of presenting in technical parts. So we decided to read through every single paragraph within two hours and after that we planned to do the discussion again among ourselves to make sure that the way we understand is the same.

After we finished discussion, we started of the combination for the submission. As for draft 2 and 3, the content we had is still quite shallow due to the information and knowledge we had for the amphibious car is limited. Because of that we decided to put more details by referencing on the sites that we provided on the reference pages and also try to get book which is related to build multi purpose automobile.

At last, we had managed to combine all the parts successfully. To conclude on this project, we were facing difficulties initially but due to the confidence and unity of the team, professional ways of teaching from our lecturer Bill and the efforts that all the team members pumped in, we can terminate this project successfully.
